Every task lives on a board, in one of its columns, inside a project. A task can have start and due dates, a priority, people assigned to it, tags, reminders, subtasks, linked items and attachments. You can see your tasks on their board, in Today and Upcoming, on calendars, and all together in Tasks.
Create a task#
- On Today, click New at the top right, then Task. On a board, click + at the top of a column instead.
- In the pane on the right, type the task's name.
- Set what you need: Due, Priority, Assignees, Tags and Reminder, and below them the Project, Board and Column it goes in, a description and subtasks.
- Click Create task, or press ⌘ReturnCtrlEnter.
Nothing is saved until you click Create task. If you close the pane after typing, Jotifi asks whether to Discard the task or Keep editing.
- On Today, tap + in the toolbar at the top, then Task. On a board, tap + at the top of a column instead.
- In the pane on the right, type the task's name where it says "What needs doing?".
- Tap the buttons under the name to set the due date, priority, people, tags and a reminder, and the rows below to change the project, board and column.
- Tap ✕ at the top of the pane. The task is saved when the pane closes.
- On Today, tap + at the top right, then Task. You can also tap + on the Tasks tab.
- Type the task's name where it says "What needs doing?".
- Tap the buttons under the name to set the due date, priority, people, tags and a reminder. The line at the bottom says where the task goes; tap Project, Board or Column to change it.
- Tap ✕ at the top left. The task is saved when the sheet closes.
A task made from Today is due today; one made from a day in Upcoming is due that day. On the free Starter plan you can have 30 tasks, and completed tasks count. See Plans and limits.
Open a task#
Click a task anywhere: on a board, in Today, Upcoming or a calendar, or in Tasks in the sidebar. It opens in the pane on the right, beside the page you were on. The pane has two tabs, Details and Activity.
To give a task the whole page, click the Open as a page button at the top of the pane, or press ⌘ReturnCtrlEnter.
Tap a task anywhere: on a board, in Today, Upcoming or a calendar, or in Tasks in the sidebar. It opens in the pane on the right, with the Details and Activity tabs.
Tap a task anywhere: on a board, in Today or Upcoming, on a calendar or on the Tasks tab. It opens in a sheet with the Details and Activity tabs. Swipe the sheet down, or tap ✕, to close it.
Changes you make in an open task save at once. The Activity tab shows who changed what, and when.
Mark a task in progress or done#
A task's status is To do, In progress or Done. The box before its name shows it: empty, half-filled or ticked.
- Select the box to move the task on: from To do to In progress, then to Done, then back to To do.
- In an open task, select Status to pick one.
In the open task you can also tap Complete at the bottom. In lists such as the Tasks tab and Today, swipe a task to the right to complete it.
On a board, the columns show each task's stage as well. See Use kanban boards.
Set dates and a repeat#
A task can have a due date, and a start date if it spans several days. It shows on calendars and the timeline from its start to its due date.
- In the open task, select Dates (or Due on a new task).
- Select Add start or Add due date, then pick a quick choice, such as Tomorrow, Next week or In 2 weeks, or a day on the calendar.
- To give it a time, select Time. All day means no time.
- To repeat the task, select Repeat, then Daily, Weekly, Every 2 weeks, Monthly or Yearly.
- Select Done. Clear removes the date you are on.
- In the open task, tap Dates (or the due date button on a new task).
- Tap Start or Due, then tap a quick choice, such as Tomorrow or Next week, or a day on the calendar.
- To give it a time, tap Time. All day means no time.
- To repeat the task, tap Repeat, then Daily, Weekly, Every 2 weeks, Monthly or Yearly.
- Tap ‹ to go back to the task. The dates are already set.
When you complete a task that repeats, it moves to its next date instead of staying done.
Set a priority#
Priority is Urgent, High, Medium, Low or No priority. It shows as up to four bars next to the task everywhere it appears.
In the open task, select Priority, then choose a level.

Add subtasks#
Subtasks break a task into steps. Each one is a task of its own, with its own dates, people and status, and the parent task shows how many are done.
In the open task, under Subtasks, select Add subtask (on a tablet, +), then type its name. You can also choose Add subtask in a task's menu.

Delete a task#
Right-click the task, or click ⋯ at the top of the open task, then choose the delete option at the bottom of the menu.
Touch and hold the task's card on its board, then tap Delete Task. In a list you can also swipe the task to the left and tap Delete.
The task is deleted at once, and a message offers Undo. If the task has subtasks and Ask before deleting is on in Settings › Editing, Jotifi asks first. Its subtasks stay on the board as separate tasks. Deleted tasks stay in Recently deleted for 30 days. See Recent items and restoring deleted ones.
