Jotifi encrypts your content, such as your notes, tasks and files, on your device before it is synced, and the connection to Jotifi's servers is encrypted too. Encryption is switched on for every account and there is nothing to set up. This page explains what is covered, what is not, and who holds the key.
What Jotifi encrypts#
Before your content leaves your device, Jotifi encrypts it, and Jotifi's servers store it in that encrypted form. This covers:
- The names, descriptions and contents of your projects, notes, tasks, boards and their columns, calendars, spreadsheets and whiteboards.
- The files you add, and their names.
- The names of your tags.
On each device, Jotifi keeps its copy of your workspace in an encrypted database.
What is not encrypted this way#
Some details are stored without this encryption, although they still travel over the encrypted connection. For example:
- Dates and times, such as due dates and when an item was changed.
- Task status and priority, and a note's status.
- Reminders, including their names, times and places.
- The place saved with a note.
- Project colours and icons.
- Who a project or item is shared with, and who a task is assigned to.
- Your account details, such as your email address, which Jotifi needs to sign you in.
Who holds the key#
Every account uses Standard protection. You don't create an encryption password or keep a recovery key. To make that possible, Jotifi keeps the key that unlocks your data on its servers, with your account. That is what lets a new device open your data as soon as you sign in.
It also means that Jotifi's servers hold everything needed to unlock your data. Standard protection is not encryption that only you can unlock.
Sharing and encryption#
When you share a project, the people you invite receive the key for that project, so their devices can read it. People you share a single item with can open only that item. Removing someone's access stops them receiving the project. See Share a project or item.
Privacy choices in the app#
These settings change what leaves your device. For where to find Settings, see Change settings.
- Generate link previews (in Editing). When you paste a web address, this device fetches the page once and keeps a small encrypted preview. The people you share with never contact the site. Turn it off and no page is fetched; it applies to addresses you paste from then on.
- Siri and Spotlight (on a Mac, iPhone or iPad). Only names leave the app: project, note and task names. Note content, task descriptions and attachments stay out of Spotlight and Siri. You can turn off Index item names in Spotlight, or Siri, Shortcuts and Spotlight altogether.
- Support diagnostics (in Help and support). When something goes wrong, a record of the error is kept encrypted on this device for 14 days and is never sent unless you choose to send it. Reports are designed to leave out names and note or task content, and only Jotifi support can decrypt them. See Get help.
Remove your data#
- From one device: when you sign out, choose to also remove the workspace and its data from the device. See Your account, signing out and deleting it.
- Everywhere: deleting your account deletes the cloud data you own. See Delete your account.
