Sync and working offline

How Jotifi saves every change on your device first and syncs it when you are online, how to check sync, and how to keep projects available offline.

Jotifi works offline. Every change is saved on the device you are using straight away, then sent to Jotifi's servers and on to your other devices as soon as there is a connection. You never need to save, and you can keep working with no connection at all. Sync is part of both plans, Starter and Pro.

How sync works#

  • Changes save on this device first. When you are online, they go to the server in the background. Your other devices get them the next time they are online.
  • Two devices, one note. If the same note's text is changed on two devices at the same time, Jotifi merges the changes. For other changes, such as a task's due date, the change made last is kept.
  • Files you add while offline upload when the connection returns.

Check that everything is synced#

On Desktop and Web

Look at the cloud button at the top right, beside the bell:

  • A plain cloud means you are connected. When a sync takes more than a few seconds, a small spinner shows in its place.
  • A crossed-out cloud means you are offline. A number on it says how many changes are waiting.

Click the cloud to open Sync details. It says Up to date with the server, Syncing or Offline, with Last synced and, while offline, how many changes are Waiting and Offline since. Sync now (when you are connected) and Try now (when you are offline) try to reach the server straight away.

On Tablet and Foldable

While you are offline, an amber crossed-out cloud appears in the toolbar at the top. There is nothing to see while you are connected. Tap the cloud to see how many changes are waiting and since when you have been offline. Try now tries to reconnect straight away; otherwise Jotifi keeps retrying by itself.

On Phone

While you are offline, an amber crossed-out cloud appears beside the screen's title. There is nothing to see while you are connected. Tap the cloud to see how many changes are waiting and since when you have been offline. Try now tries to reconnect straight away; otherwise Jotifi keeps retrying by itself.

Shown on an Android foldable; on an iPhone Duo the item's tools sit in a side bar on the right.

Work while you are offline#

You can open, create, change, complete and delete anything stored on the device. A few things need a connection, because they involve the server or other people:

  • Inviting people, removing access and cancelling or resending invitations. See Share a project or item.
  • Signing in, buying or restoring a subscription, and contacting support.
On Web

The web app keeps your workspace in your browser, encrypted, so it works offline too and your changes wait there until you are back online. A workspace can be open in one browser tab at a time. If it is already open in another tab, Jotifi asks you to close that tab and choose Try Again.

Keep a project on this device, or free up space#

Each project is either stored on this device, so it works offline, or kept only on the server. A project that isn't stored here can't be opened on this device, even while you are online, until you download it. Removing a project from a device doesn't delete it: it stays on the server and on your other devices.

On Desktop and Web
  • For one project: right-click it in the sidebar, then choose Download to this device or Remove from this device….
  • For all your projects: open Settings, then Storage and files, then On this device. Turn each project's switch on to keep it here, or off to remove it from this device.
On Tablet and Foldable
  • For one project: touch and hold it in the sidebar, then tap Download to this device or Remove from this device….
  • For all your projects: open Settings, then Storage and files. Under Keep available offline, turn each project's switch on to keep it here, or off to remove it from this device.
On Phone
  • For one project: tap Projects, touch and hold the project, then tap Download to this device or Remove from this device…. A project that isn't stored here says Cloud only.
  • For all your projects: open Settings, then Storage and files. Under Keep available offline, turn each project's switch on to keep it here, or off to remove it from this device.

Each project is set on its own: changing a project never downloads or removes its sub-projects.
