A note is a page of rich text. Besides words it can hold lists and checklists, tables, images, files, drawings, and live copies of tasks, boards and calendars from your projects. Notes save as you type.
Create a note#
- In the sidebar, under Library, click Notes.
- At the top of the items column, click +, then choose the project the note goes in.
- Type the note's name in the pane on the right, and add tags if you like.
- Click Create note.
You can also click New, then Note, on Today, or right-click a project and choose New in project, then Note.
- In the sidebar, under Library, tap Notes.
- Tap + at the top of the list, then choose the project the note goes in.
The new note opens, ready to type.
- Tap the All Notes tab.
- Tap + at the top right.
- Choose the project the note goes in.
The new note opens, ready to type.
A note without a name takes its name from its first line of text.
Format text#
The formatting row at the top of the note has:
- Text style (the menu that shows Text): Text, Heading 1, Heading 2 and Heading 3, plus the lists, Quote and Code block.
- Bold ⌘BCtrlB, Italic ⌘ICtrlI, Underline ⌘UCtrlU and Strikethrough.
- Colour: the text colour, or Clear formatting.
- More formatting (⋯): Format painter, which copies formatting from one piece of text to another, Clear formatting and Emoji.
Select text first, then choose the style. When the window is narrow, the buttons that do not fit move into ⋯.
The formatting bar sits above the keyboard while you type:
- Aa (Text style): Title, Heading, Subheading, Body and Monospaced, plus the lists.
- B (Bold) and I (Italic).
- ⋯ (More formatting): Underline, Strikethrough, Text Colour, Format Painter, Font Size, Clear Formatting and Find and Replace.
Select text first, then choose the style. Where the screen is wide enough, the bar also shows Undo, Redo, Colour and buttons for photos and links.
Make a list or checklist#
Click Bulleted list, Numbered list or Checklist in the formatting row, or press ⇧⌘8CtrlShift8, ⇧⌘7CtrlShift7 or ⇧⌘9CtrlShift9. Press Tab to indent an item and ShiftTab to move it back out.
Tap the checklist or list button on the formatting bar. While the cursor is in a list, those buttons change to Outdent and Indent. For a numbered list, tap Aa, then Numbered List.
Select a checklist item's box to tick it off.
Insert images, tables, files and more#
Click Insert in the formatting row. It has:
- Media: Image, Video or embed and File.
- Blocks: Checklist, Table, Quote, Code block, Divider, Table of contents and Drawing.
- Embeds: a Task, a Board, a Calendar, a Link to item or a Tag.
- Emoji.
Tap + on the formatting bar. The buttons at the top add a photo, a video or a file. Below them are Checklist, Table…, Quote, Code Block, More Blocks (Divider, Contents and Drawing), Embeds (Task, Board, Calendar, Link to Item and Tag) and Emoji.
An embedded task, board or calendar is the real item, so a change you make to it in the note shows everywhere. Drawing adds a sketch that you draw by hand.
Link to another item#
Links to tasks, notes, boards and other items open the item when you select them.
Click Link in the formatting row, or press ⌘KCtrlK, then find the item and select it.
Tap + on the formatting bar, then Embeds, then Link to Item, and choose the item.
To link to an item from somewhere else, copy its link (Copy link in its menu) and paste it into the note.
Find and replace text#
Click Find and replace at the right of the formatting row, or press ⌘FCtrlF.
Tap ⋯ at the top right of the note, then Find in Note. Find and Replace is also in More formatting on the formatting bar.
To find a note by the words inside it, use the search field at the top of the notes list. Search, the one that covers your whole workspace, matches item names only.
Put a note inside another note#
Notes can hold sub-notes, which show indented under their parent in the notes list.
In the notes list, drag a note onto the note it should go under.
- On the All Notes tab, touch and hold the parent note.
- Tap Add subnote.
Select the arrow next to a parent note to show or hide its sub-notes.
Focus on writing#
Click Focus at the right of the formatting row to hide the sidebar, the items column and the tabs. Click Leave focus, or press Esc, to bring them back.
The shortcut is ⌃⌘FCtrlShiftF.
Tap the full-screen button in the toolbar at the top of the note.
On a phone, a note already uses the whole screen.
Send a copy of a note#
You can send a note to someone outside Jotifi, or keep a copy, as a PDF, rich text, PDF and images, Markdown, or files in a folder.
- Click ⋯ at the top right of the note, then Export….
- Under Send a copy, choose a format.
Sending a copy is not available on the web. Use the Mac, Windows, iPhone, iPad or Android app.
- Tap ⋯ at the top right of the note, then Export.
- Under Send a copy, choose a format, or Other apps… to send it with another app.
To let someone work on the note with you instead, share it: see Share a project or item.
Delete a note#
Click ⋯ at the top right of the note, then Delete note…, then Delete note.
Tap ⋯ at the top right of the note, then Delete Note, then Delete NoteDelete note.
The note goes to Recently deleted for 30 days. See Recent items and restoring deleted ones.
On the free Starter plan you can have 10 notes, plus 1 for each project after your first (up to 12). See Plans and limits.
